Receptionist & Administration Assistant

We are currently seeking a Receptionist & Administration Assistant to join one of our regional offices.

While based in a smaller satellite location, you will be supported by an experienced team of lawyers, administrators, and support staff across the broader firm. This is an excellent opportunity for someone who enjoys a varied role, values client service, and takes pride in keeping an office running smoothly.


As the first point of contact for clients and visitors, you will play an important role in creating a positive and professional experience for everyone who interacts with our firm.


This position is ideal for someone who is organised, proactive, and comfortable working independently. As the primary staff member in the office for much of the day, you will be responsible for managing reception and administrative functions while remaining connected with and supported by colleagues across our network of offices.

Responsibilities


  • Greeting clients and visitors in a professional and friendly manner.
  • Answering, screening and directing telephone calls.
  • Managing email enquiries and client communications.
  • Scheduling appointments and coordinating meeting room bookings.
  • Opening, maintaining and closing client files.
  • Preparing, scanning, filing and managing legal documents and correspondence.
  • Processing incoming and outgoing mail.
  • Providing administrative support to lawyers and support staff.
  • Liaising with clients, accountants, financial advisers, real estate agents and other stakeholders.
  • Maintaining office supplies and ensuring the office remains organised and presentable.
  • Assisting with general office administration as required.

Required Skills


  • Previous administration experience in a professional office environment.
  • Excellent organisational skills and strong attention to detail.
  • Outstanding communication and interpersonal skills.
  • A professional, friendly and client-focused approach.
  • The ability to work independently and manage competing priorities.
  • Confidence using Microsoft Office and general office technology.
  • A reliable, proactive and positive attitude.
  • Strong problem-solving skills and the ability to take initiative.

Experience working within a law firm or legal environment will be highly regarded but is not essential. We are willing to train the right person who has strong administration skills, a willingness to learn, and a commitment to providing exceptional service.
